SUPERVISOR: Director of Finance
POSITIONS SUPERVISED: None
QUALIFICATIONS: High school diploma plus two years related experience. Undergraduate coursework in accounting preferred. Must have valid driver's license and be insurable under COVA's insurance policy. Must have police record without evidence of convictions or charges, which may impede performance in carrying out job responsibilities.
SKILLS: Mathematical accuracy and analytical capabilities. Familiarity with financial and accounting software, ADP, ReportSmith, Blackbaud, Excel and Microsoft Word.
Work Duties: The person in this position is responsible for payroll, accounts payable, accounts receivable, billing and monitoring grants, and other duties as assigned.
Payroll Responsibilities
- Accurately processes payroll and performs related duties
- Verifies checks and enters Employee Timesheet and Expenses into ADP
- Communicate with Directors and staff regarding errors or questions related to Timesheets and expenses.
- Prepare reports and monitor PTO
- Works closely with Human Resources department
Billing/Account Receivable Responsibilities
- Prepares, complies and maintains accounts receivable records
- Monitors, verifies, receives and recognizes cash receipts by position and matching with correct billed invoices.
- Reviews and ensures complete and accurate billing information
- Enters appropriate billing invoices in a timely manner
- Monitors grants and other related billing information
- Performs monthly reconciliation of account receivables and account balances
- Maintains current status information on authorizations for billing
- Processes and delivers bank deposits
Accounts Payable
- Codes and manages accounts payable in a timely manner to ensure prompt payment of accounts
- Enters account payables information into general ledger
- Generates checks to appropriate vendors and other payees
- Performs monthly reconciliation of accounts payable and account balances
Related duties
- Compiles and processes general ledger entries and reconciliation
- Compiles and prepares bank statement reconciliation
- Posts budget as indicated by programs
- Collects, reports and analyzes other financial data as determined by the Director of Finance
- Abides by agency’s rules, regulations, policies and procedures
- Participates in staff development and training programs
- Performs other duties as assigned by the Director of Finance, Director of Budget, Billing and Analyst, Vice President or President.
